echoventra.TRANSPARENT USE

Terms of use

1. Offer and account

Echoventra supports events and helps organize programs, recordings, slides, summaries, and personal notes. The current service is in beta testing. Which functions, file formats, and limits are available is shown in the respective interface. Automatic assignment, a complete website import, or a specific processing time is not guaranteed.

Private content is assigned to the logged-in account. Keep access data safe and do not share it with other people. You may only use accounts and event areas for which you are authorized. Public event content may be accessible without an account.

2. Content and private storage

With “Save selection privately” you instruct the storage of the selected files in the displayed account and event context. Merely selecting files does not transfer anything yet. No additional confirmation checkbox is required for storage.

You must have the necessary rights and a lawful basis for recording, upload, and the respective commissioned use. This may include rights from speakers, people shown, organizers, and authors. These terms do not grant third-party rights and do not replace any required permission to record or use non-publicly spoken words.

Rights to your content remain with you or the respective rights holders. For the requested functions, Echoventra should receive only the non-exclusive rights necessary for storage, technical processing, and delivery. Any further publication, commercialization, or use for model training is not permitted by this draft.

3. AI orders and further processing

When account automation is enabled, a completed event upload starts the displayed AI processing within the expressly released overall budget. You can pause automation at any time. Without enabled automation, processing is commissioned via the labeled start button. For audio processing, ElevenLabs receives the recording; afterward OpenAI may summarize the transcript. For a shared summary or AI assignment, OpenAI receives the selected sources and the necessary event context. The exact scope is shown before starting.

After start, processing is partly asynchronous. You can later return to the saved job with the same account. Retrieving a result should continue existing jobs or load results; it is not an order for additional transcription. Unclear provider assumptions are not blindly commissioned again.

AI can misassign, confuse names, or summarize statements incorrectly. Check results before publishing them or making important decisions. Source references show where a statement came from; they are not an independent truth check. Automatic profiles or marketing releases do not arise from an upload.

4. Budget and beta limits

Before a new AI order, Echoventra checks technical approval and the available budget. The displayed reservation amount blocks a cautious maximum amount; it is neither an invoice to you nor proof of actual provider costs. Existing reservations are released only after a documented cost reconciliation.

An upload, deletion, device change, or renewed retrieval does not reset the budget. Without sufficient budget, no new order is started. New paid offers, subscriptions, or increases require a separate agreement; they are not automatically ordered by these terms.

5. Public releases

Uploads and AI results remain private at first. For publication, you select the specific content and confirm the visible status via the publish button. Slide view, original download, and other publication paths are controlled separately. Private storage or acceptance of terms of use does not publish any content.

Publicly released content can be read via event pages and released interfaces without logging in. Only publish details, files, and person profiles whose public use you are allowed to permit. A withdrawal blocks new retrievals in the respective channel; copies already created by third parties cannot be automatically retrieved.

6. Import and assignment

Event links, external programs, transcripts, and file names may be incorrect or incomplete. Check imported data and correct it if necessary. Echoventra should keep source status and saved assignments traceable. An event assignment is not confirmed attendance and not proof of expertise.

Participant data may only be imported with the required authorization and for a permitted purpose. An import does not allow automatic promotional messages and does not create a public participant list. Do not bypass access restrictions, account limits, or protective measures, and do not use private areas of other accounts.

7. Deletion and backup

The interface distinguishes between removing a reference and the permanent deletion of a file or result. Note the displayed consequences. Save important original files yourself as well. In beta testing, Echoventra is no substitute for an independent backup.

Local deletion does not automatically remove provider copies already transferred or public copies held by third parties. Required billing, security, and deletion records may be retained separately. Specific retention periods, legal bases, recipients, and data protection rights are to be described in a separate privacy policy to be completed before broad release.

8. Operation, disruptions, and misuse

During beta, functions may temporarily be missing or interrupted. Connection drops and limits should be shown clearly; unconfirmed uploads are not considered fully stored. In particular, unlawful content, bypassing access protection, deliberate overload, and automated mass copying of others’ private content are prohibited.

Measures in response to misuse should be proportionate. Statutory claims and mandatory protective rights remain unaffected. This draft contains no blanket disclaimer of liability.

9. Introduction and later changes

The binding version must be accessible before it is incorporated and effectively agreed. A later change to the text does not automatically count as consent. For material changes, appropriate notice and, where required, a renewed agreement must be provided. Blanket consent to optional data processing is not tied to account use.

To be added before the public release

Full operator and contact; imprint; privacy policy with actual service providers, transfers, and retention periods; reviewed contractual version; verifiable acceptance of the released version. Until then, this page is expressly a draft.
